IT teams managing devices across  the full employee lifecycle

Automate e-waste compliance across all operating regions

Manage global device disposal through a single, centralized workflow. Firstbase coordinates certified e-waste handling and tracks compliance at the asset level, so finance teams can stay audit-ready without regional follow-ups or manual documentation.

Convert disposed assets into quarterly budget credits

Turn eligible retired devices into structured financial returns. Firstbase remarkets qualified assets and issues resale credits on a predictable schedule, helping finance teams offset future IT costs instead of absorbing full write-offs.

The financial challenges that surface as teams go global

As teams scale across regions, IT assets quietly turn into financial blind spots. What begins as operational friction later becomes lost value, unplanned expense, and audit exposure.

Laptops get stuck in customs, left with former employees, or written off before recovery is even attempted. Once devices fall out of circulation, their resale value goes unrealized, often $200K-$1.2M annually for mid-market companies.

Devices disappear across borders

Most finance teams budget device disposal assuming zero recovery. That default turns usable hardware into sunk cost, even when secondary market demand still exists.

Asset disposal is treated as a 100% expense

Hardware spend spreads across vendors, currencies, and invoices. Without a single source of truth, finance teams lose sight of what’s owned, what’s active, and what’s already written down.

Global spend becomes opaque and hard to forecast

E-waste and data disposal regulations vary by region, and gaps are easy to miss when processes are manual or fragmented. Non-compliance fines average $50K–$500K per violation.

Compliance risk hides inside asset disposal

Hiring expands into new countries, but Finance still handles asset reporting across all regions.

Who pays the price for equipment overspend?

CFO

You’re defending overspend, lost devices, and delayed onboarding without a single system that shows what was ordered, where it is, or who owns it.

Finance Manager

You’re following up on Amazon orders, chasing IT tickets, updating spreadsheets, and answering “Has the laptop shipped yet?” instead of improving HR operations.

Procurement Manager

Your hires and exits trigger correctly in the HRIS, but equipment actions lag behind. And that creates gaps, duplicate work, and process breakdowns you’re expected to fix.

How finance teams regain control over global IT assets

Global workforce supported by a 2-person IT team

The Challenge
Regional logistics, VAT handling, and break/fix processes threatened to push equipment management costs higher as the workforce diversified geographically.
The Result
Firstbase absorbed procurement, logistics, replacements, and asset movement across regions, allowing Earnest to support a global team with just two IT staff, reducing internal overhead while keeping asset spend controlled and auditable.

10-15 hours per week returned to higher-value work

The Challenge
Ordering, tracking, and retrieving equipment consumed significant operational time, pulling teams into repetitive coordination work instead of core responsibilities.
The Result
Firstbase helped Verse save hundreds of hours annually, freeing up 10-15 hours per week previously spent on equipment ordering and returns.

4,000 laptops managed globally by one procurement specialist

The Challenge
As New Relic scaled globally, IT headcount shrank. Managing procurement, provisioning, retrievals, and disposal across regions became unsustainable without introducing financial and compliance risk.
The Result
With Firstbase, one procurement specialist now manages ~4,000 laptops globally, without service degradation or loss of control.

200+ ad-hoc equipment orders processed in one month

The Challenge
Benefex needed to support nearly 600 globally distributed employees while controlling ad-hoc equipment spend and eliminating manual request handling.
The Result
Using the Firstbase Virtual IT Closet, Benefex processed 200+ employee equipment orders in the first month, with direct IT billing and approval controls in place.

What Our Customers Are Saying.....

Fewer manual tasks across the equipment lifecycle

"Firstbase gave us the flexibility to lease, purchase, or supply our own equipment without adding manual work. That alone freed up meaningful time for our team to focus on higher-impact initiatives instead of day-to-day coordination."

Brandon Menez
IT Manager, Paxos

Security and compliance, built into the lifecycle

Every device, disposal, and handoff is documented, traceable, and compliant by default.

Frequently Asked Questions

Every Firstbase customer works with a dedicated Customer Success Manager who owns onboarding, workflow setup, and ongoing optimization. You also get access to a dedicated buyer who manages procurement pricing and availability. Device operations run under 99% SLAs, so finance isn’t chasing escalations or exceptions.

Laptops, phones, and tablets qualify for resale credits when remarketed and receive a Certificate of Destruction. Monitors and accessories are responsibly recycled with e-waste certificates, but do not generate resale credits or CODs.

Certificates of Destruction typically take 60-90 days, depending on device condition and region. If a device powers on and isn’t locked, in-house data erasure can speed up the process. Resale credits are issued quarterly and may take an additional 90 days after processing.

Traditional ITAD providers charge fees to dispose of retired hardware. Firstbase helps recover value from eligible devices and returns that value as resale credits applied to future IT spend. It’s a managed, audit-ready process that reduces net disposal costs rather than adding to them.

Yes. Data destruction meets or exceeds NIST 800-88 standards across regions. Certified tools such as BitRaser or Securaze are used depending on location, and a Certificate of Destruction is provided for every processed device.
